De Matteis & Associates & is committed to supporting the provisions of the Privacy Act 1988 (Cth) and the National Privacy Principals contained in the Privacy Amendment (Private Sector) Act 2000 (Cth) with respect to the collection, access and storage and use of personal information obtained as part of our business operations.

Collection of Personal Information

De Matteis & Associates will only obtain personal information in order to provide our clients with our services or manage our relationship with clients.

Personal information collected by De Matteis & Associates may include names and contact information, birth date, tax file number and financial details.

Sometimes, we may need to collect personal information about individuals who are not clients of De Matteis & Associates (for example, business contact details of a company representative with whom we deal).

Generally, we will not collect sensitive information such as race, political beliefs, religion or health unless this is required to enable us to provide clients with services. Client consent will be requested if sensitive information is required.

There is no obligation to provide any information requested by us. If you choose to withhold information however, we may not be able to provide the correct taxation advice or any taxation advice.

Collection and Storage of Personal Information

Collections and storage depends on method of interaction.

Personal information may be collected from an application or a registration form, or, verbally if information is provided by telephone to our staff.

We take reasonable steps to protect the personal information we hold from loss and unauthorised access, destruction, use, modification or disclosure.

Use of Personal Information

Our policy is to use personal information only for the main business purposes for which it was collected.

The personal information collected by De Matteis & Associates may be used to:

  • provide clients with our services or with other information you have requested;
  • notify clients about other De Matteis & Associates services or promotions from time to time; or
  • manage client relationships.

Personal information collected from clients will only be used to send a commercial electronic message if express or inferred consent has been obtained.

Where clients no longer wish to be notified about other De Matteis & Associates services or promotions please let us know.

Personal information collected may be used by different entities within the De Matteis & Associates group, but only if this is necessary in order for us to provide clients with our services.

Disclosure of Personal Information to others

Primarily, the information that we collect will only be used and disclosed for the primary purpose of accurately representing our clients and for any accounting and taxation obligations we have under the Tax Agent Services Act 2009 or as required by IPA Australia.

In some circumstances, personal information is disclosed to third parties where this is related to the supply of our services. If De Matteis & Associates makes disclosures of this kind, clients will be advised of these disclosures at the time the request is made to De Matteis & Associates to supply clients with our services. De Matteis & Associates will not sell or trade personal information unless requested by the client. Control of this information remains with De Matteis & Associates.

Access to and Quality of Personal Information

Under the Privacy Act, clients have a right to seek access to information which we hold, although there are some exceptions to this. Clients also have the right to ask us to correct information about which is inaccurate, incomplete or out of date. De Matteis & Associates policy is to consider any requests for access or correction in a timely way.

To provide clients with access to their personal information, De Matteis & Associates would ordinarily provide the client with a print-out of the relevant personal information from our current databases, or with photocopies of records which are held only on current paper files. Depending on the nature of the request, we may ask the client to put the request in writing.
